Work Review and Ticketing

We're continuing to improve our work intake and management processes based your feedback. Key team leaders are now meeting twice per week to review incoming tickets and develop response plans based on the urgency of the requests.

We've also launched additional changes to our help ticket. You can now specify if your ticket can be reviewed during the standard twice weekly team leader meetings or if it should be reviewed immediately due to a critical issue.

SharePoint Launch

As mentioned during last week's bi-weekly campus meetings, we've launched a new IOS SharePoint site with specific tabs for each campus partner. Campuses will be able to access only their specific tab based on existing permission sets. Our hope is that this structure will make document sharing and storage easier for all parties as our work continues to evolve. 

In addition to storing valuable campus-specific data, the SharePoint pages also provide links to data and dashboards including Salesforce pipeline and marketing reports and dashboards, paid performance dashboards, and Swish collaborative boards. We're also working to include KPIs for each campus so we can actively measure our progress toward the goals that are most critical to you.

Quarterly Roadmap and Marketing Requests

As we continue work on the fourth quarter goals you specified for your campus, we also want to begin looking ahead to any specific goals you have for the first quarter of 2024. Please begin considering if there are specific requests you'd like us to complete from January - March of next year. We'll begin reviewing and operationalizing this work in December based on team capacity and carryover items from 2023.

We've also created a new tracking mechanism. We'll discuss in more detail during our next bi-weekly campus meeting, but if you'd like to glance at your campus' guiding spreadsheet in advance, please feel free to do so.

Collegis Outreach Mapping

The team has been working with Collegis to refine outreach documentation that accounts for both external vendor outreach and internal outreach from campuses. We expect to have a complete overview ready for review in early December that will include email, text, and phone outreach points and associated copy to leads for all campuses. Since each campus process is slightly different, the spreadsheet we are creating will set the stage for additional modification as outreach processes continue to be refined.

  • Note on Collegis outreach: Although Collegis has assured us that they have eliminated all references to CU Online and ODE from their materials, we've been alerted to a few examples where that is not the case. We have escalated this issue with Collegis and will have the problem corrected as soon as possible.
