Pay group changing mid-cycle? Here’s what to do

Here’s a quick rule of thumb for pay group transitions.

How pay is processed

If an employee’s pay group changes within a pay period (monthly or bi-weekly), only the earnings for the new pay group can be processed in the regular payroll. In the past, this required manual entries and caused extra work for payroll liaisons. 

What to do

When a pay group changes during a pay period, earnings from the former pay group become an off-cycle entry and must be entered directly into CU Time as such.

If these entries are made at the same time as regular time entries for that payroll, entries for bi-weekly should pay at the same time as the regular bi-weekly payroll. For monthly payrolls, off-cycle entries will pay no later than monthly payroll.
