Charge

The new SIS will require a robust infrastructure to support the reporting and analysis needs of the University’s administrative and academic units. To build this infrastructure, a group of experts is needed that will be charged with the responsibilities outlined below. The group will have members from the IR offices and other offices that have intensive information requirements or provide information to other departments. The infrastructure will include a reporting database, the associated “metadata”, documentation, and the tools to manage and report information from the new SIS. Security and protection of the privacy of the data will an additional factor considered.

Responsibilities

1. Define the requirements for the information infrastructure for the new SIS.
2. Evaluate the best strategy for meeting the goals/requirements and decide if the CIW will be the primary data source or if the University should acquire a vendor product or products.
3. Help formulate the transition strategy from today’s reporting tools to the new Cognos Business Intelligence tools and system. The transition will happen before a new SIS is implemented and will work from the existing CIW and SIS.
4. Participate in design and configuration decisions during implementation that will facilitate reporting of academic information.
5. Participate in the data conversion tasks from the old SIS to the new SIS. Data includes student data as well as academic program data in SIS.
6. Provide advice on the security and protection of the data.
7. Build and test the infrastructure.
8. Support the conversion of existing files and reports to operate off of the new reporting database(s).
9. Make recommendations to the SIS Advisory Committee and Executive Committee as required.
10. Other, as defined as the project progresses.

Membership

The Student Information System is a complex system that touches many parts of the University with a significant number and diversity of stakeholders. Information derived from SIS is used in many ways by many departments. A core group of experts provides much of the support for building infrastructure and supporting the analysis and reporting requirements of the University. Participants will be need to be familiar with current reporting needs and processes, and should be willing to devote some time outside of meetings documenting needs, reviewing and contributing to the requirements we define, and (over the course of the project), helping to design and document new reporting processes and deliverables. The special interest group will have membership from the following organizations:
• The Institutional Research offices
• The AIS/IRM office
• UMS
• Experts from the core student service offices with intensive information needs
• Others with intensive information needs from SIS and the CIW

Relationships

This special interest group will report its recommendations to the SIS Advisory Committee and Executive Committee. It will represent the information needs of the academic and administrative units of the University. It will report recommendations to the IR Council.

Meeting Pattern

Monthly meetings will be scheduled. Additional meetings will be required on an as needed basis. This is a multi-campus group, with meetings in Denver or by phone. Time commitments will vary but might take 8 to 10 hours per month through mid 2006 and more during the RFP evaluation.
